Conditions of travel participation and Commitment to quality

Conditions of participation

  1. Travel registration and conclusion of contract

Registration for the trip must be made in writing or via our online form (www.Indiwi.de/reiseanmeldung) by the legal representative. It is considered an offer to conclude a travel contract. The contract is concluded when the confirmation of participation is sent. In the event that there are no more places available for the desired trip, the applicant will receive a notification, which may also be given verbally.

    1. Terms of payment

a) Upon receipt of the invoice, the participation fee must be paid no later than 2 weeks before the start of the trip and payment must be presented upon request. The calculation of the participation fee is based on the “Implementation regulations for participation fees for children’s and youth recreation events” (AV-TBKJE).

b) In the case of participants with disabilities, the legal representative is obliged to arrange for the financing of the additional costs caused by the disability before the start of the trip. This should be done by submitting the declaration of assumption of costs from the district office. We are happy to help with the application. It can also be done by:

  • The declaration that the costs can be settled with the care insurance fund via the prevention care and that sufficient money is still available for this at the start of the trip.
  • Declaration on the assumption of disability-related additional costs as a self-payer
  1. Withdrawal

In the event of withdrawal by the participant’s legal representative or if the trip is not commenced without withdrawing from the contract, Indiwi e.V. may charge the following fees as compensation for the travel preparations made and for its expenses:

– up to 10 weeks before the start of the trip: 10% of the participation fee to be paid

– up to 6 weeks (69th to 42nd day) before the start of the trip: 50% of the participation fee to be paid

– up to 2 weeks (41st to 14th day) before the start of the tour: up to 100% of the tour price

    1. During the trip

a) Visits during the vacation stay are not desired for educational reasons.

b) In special cases, e.g. emergency situations, my child may be taken along in a private vehicle by a supervisor. This does not imply an exclusion of liability (§276 para. 2 BGB).

c) In the event of a premature return journey, all costs incurred as a result are to be borne by the legal representative

  1. Right to use images

During the trip, photos/videos/sound recordings will be made, some of which will be used for documentation and news coverage as well as public relations work of the Indiwi, for example on our website, in print media and in social networks (Facebook, Instagram, Twitter). By participating [with your signature], you give your consent to the media use of these recordings. Commitment to quality

of the Indiwi in the Association of German Scouts for vacation recreation trips in which children and young people with and without disabilities participate – integration trips. This voluntary commitment is intended to provide you as parents, your children and young people with a reliable quality standard when selecting vacation and recreational trips.

The form of our self-commitment guarantees that we as organizers work according to the criteria listed below. We will include it in the contract with the participants and make it known to you. This means that you as a user are informed about our list of services in the voluntary commitment and can take legal action if necessary. This forces us as organizers – better than any supervisory authority – to comply with the criteria.

This voluntary commitment applies to our integration trips with an open invitation to tender, where participants can register freely. The self-commitment only applies to publicly recognized providers according to the KJHG (§ 75), whose free and non-profit youth work is to be additionally promoted and further developed. This applies to us as organizers. The youth welfare authority is not responsible for private commercial organizers.

This voluntary commitment applies to our integration trips with an open invitation to tender, where participants can register freely. The self-commitment only applies to publicly recognized sponsors according to the KJHG (§ 75), whose free and non-profit youth work is to be additionally promoted and further developed. This applies to us as organizers. The youth welfare authority is not responsible for private commercial organizers.

Our voluntary commitment should also help to emphasize the importance of integration trips in the context of youth welfare. The aim is to stimulate professional discussion and ensure that professional quality standards are safeguarded, reviewed and further developed. Our integration trips promote mutual understanding, recognition and social integration and are therefore of particular importance.

  1. criteria for our integration trips:

On the one hand, our integration trips should enable children and young people with disabilities to participate in social life on an equal footing and, on the other hand, give children and young people without disabilities the opportunity to get to know disabled people and counteract fears of contact and possible prejudices. The educational objectives should have a lasting positive effect on the participating children and young people.

Our integration trips are designed according to the following criteria in particular:

Active recreation and relaxation, promotion and sensitization of individual skills

Instruction in independence and personal responsibility, i.e. promoting help for self-help

Participation and active involvement. (Pedagogical implementation in small and large groups)

Promotion of social, practical and democratic behavior in the group

Promoting mutual understanding between people with and without disabilities and from different social, cultural and national backgrounds

Promoting a conscious, self-responsible and healthy way of life, learning about and preserving nature and the environment.

  1. requirements for the providers:

As a provider, we are a recognized and non-profit integrative educational institution of youth welfare, acting on behalf of our independent sponsor and the Senate Department for Education, Science and Research.

We guarantee a wide range of leisure activities to suit the different abilities and interests of children and young people.

We guarantee the careful selection and the comprehensive and professional qualified training of our supervisors on the basis of the “Supervisor Training Concept for Integrative Recreational Camps” of the Senate Department for Education, Science and Research of October 1998, revised in May 2006.

We undertake to adhere to the following principles:

Guidelines on the promotion of socio-educational vacation and leisure projects of the State of Berlin dated 12.03.1998

Implementation regulations on bathing and swimming with children and youth groups of the State of Berlin dated 21.07.1995

the Travel Contract Act (§651 a to k, BGB)

the conclusion of insolvency insurance

the Youth Protection Act

the Infection Protection Act (IfSG) (SeuchRNeuG of July 20, 2000)

We always apply the latest versions of the laws, implementing regulations and guidelines. We undertake to evaluate the integration trips carried out. Suggestions and points of criticism from children/young people, parents and supervisors are taken into account.

As a provider, we guarantee 35% of the travel places for disabled participants and 65% for non-disabled participants, as well as care appropriate to the disability. A deviation is permitted in justified exceptional cases.

  1. requirements for the supervision of our integration trips:

Our supervisors are of legal age and have a current first aid certificate. All supervisors have taken part in the team and project-related training courses, which cover legal and pedagogical principles, a socio-psychological analysis of the target group and organizational issues. Particular attention was paid to the educational integration context. The selection of our supervisors is based on pedagogical and professional aspects and also takes into account the need for an effective team. Long-term joint preparation and follow-up in the team is a matter of course for us. We always hold preparatory and follow-up meetings with the children/young people and parents. The supervisors have a team and project-related say in the content of the individual integration trip. We have a minimum supervision ratio of one supervisor for every six non-disabled participants and one for every two disabled participants. This can be increased depending on the degree of disability.

This quality commitment is in line with the quality requirements of the Senate Department for Education, Science and Research, SenBWF III C 1.
